Administrative Assistant
Procurement & Supply Chain
Job Title: Front Desk / Administrative Assistant
Location: Allendale, NJ (100% On-Site)
Schedule: Monday–Friday, 8:00 AM – 4:30 PM (Must be able to work occasional overtime)
Pay: Up to $23/hour
Position Overview:
We are seeking a detail-oriented and professional Front Desk / Administrative Assistant to join our team in Allendale, NJ. This role is fully on-site and requires strong organizational skills, excellent communication abilities, and the flexibility to handle a variety of administrative tasks. Occasional overtime may be required.
Key Responsibilities:
Maintain confidentiality of all customer, vendor, and staff information.
Answer and direct incoming calls promptly and professionally; take messages as needed.
Manage incoming and outgoing electronic communications on behalf of management and the company.
Open, sort, and distribute mail, emails, and faxes.
Compile, copy, scan, sort, and file records of office activities, business transactions, purchase orders, and other documentation.
Process customer orders and release requests into the ERP system.
Coordinate shipping schedules, prepare shipping documents, and arrange shipments using appropriate methods.
Prepare and mail bills, invoices, checks, and other required documentation.
Greet visitors, determine the purpose of their visit, and provide access as appropriate.
Operate office equipment such as photocopiers, scanners, fax machines, voicemail systems, and computers.
Maintain and update filing, mailing, and database systems manually or electronically.
Monitor office supply inventory and place orders as needed.
Draft responses to routine inquiries and correspondence.
Communicate with customers and other individuals to answer questions, provide information, and relay feedback.
Perform additional duties as assigned by the supervisor.
Qualifications:
Previous experience in an administrative or front desk role preferred.
Strong organizational and multitasking skills.
Proficiency in Microsoft Office Suite and familiarity with ERP systems is a plus.
Excellent verbal and written communication skills.
Ability to maintain confidentiality and handle sensitive information.
Reliable, professional, and able to work occasional overtime when needed.
Pay Details: $22.00 to $23.00 per hour
