LHH is seeking an administrative assistant for a leading civil and human rights law organization. The administrative assistant will be on the scholarship team, this is an innovative scholarship and legal training program designed to produce a highly skilled cadre of future attorneys.
Position Overview
The client seeks an Administrative Assistant to support the scholarship program. This position reports to the program director and serves as the point person on all administrative matters for the scholarship team. The role involves supporting three key team members, including the director, and assisting with recruiting, applications, reviews, and policy and procedure evaluations.
Key Responsibilities
Serve as the administrative point person for the Director and team.
Organize and coordinate meetings, including preparing agendas, reserving conference rooms, arranging catering, and communicating with participants.
Assist with scheduling meetings with Senior Leadership, Scholars, partners, and other stakeholders.
Handle travel arrangements for the director.
Manage correspondence and communications for the director.
Create and maintain contact lists and databases for the scholarship team.
Provide basic word processing support, including Word, PowerPoint, and Excel.
Assist with document production (scanning, copying, formatting).
Organize and maintain both paper and electronic filing systems.
Establish systems for document management, reporting, information flow, and organizational planning.
Engage IT support services effectively and efficiently.
Coordinate the preparation of agreements and correspondence with donors, scholars, and partners.
Maintain detailed and complete program records; prepare records for annual audits.
Act as liaison between program staff, scholars, donors, and partners.
Assist in coordinating the scholarship program’s special events such as scholar retreats, conferences, and receptions.
Arrange logistical details for Selection Committee meetings.
Prepare and send correspondence to applicants and scholars.
Promote and communicate with scholars, organizing their attendance at events and trainings.
Maintain up-to-date scholar information in a scholarship database and coordinate information exchange with other departments.
Qualifications
Minimum of 2 years of administrative assistant or project management experience.
Excellent writing, telephone, interpersonal, and communication skills.
Highly motivated and professional demeanor.
Commitment to social causes
Strong administrative, organizational, and time management skills.
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and internet research.
High level of executive and legal support.
Excellent attention to detail.
Ability to work in a high-paced environment.
Flexibility with work schedule to meet the demands of a dynamic legal organization.
