📍 Location: Fully On-Site Fort Lee, NJ 9-5

💼 Employment Type: Temp-to-Perm or Permanent


💰 Compensation:

  • Contract: Up to $40/hour

  • Permanent: Up to $80,000/year


Position Overview

We are seeking a highly organized and proactive Administrative Assistant to support Partner as well as provide general office support. This is a fully on-site role requiring discretion, attention to detail, and the ability to manage both personal and professional tasks efficiently.


Key Responsibilities

  • Manage QuickBooks and Bill Pay transactions

  • Handle medical billing (Horizon & Gente)

  • Coordinate calendar appointments and scheduling

  • Process bank wires for Jason and Fred

  • Answer and manage daily phone calls

  • Draft and send personal letters upon request

  • Make reservations

  • Maintain and track credit card usage

  • Oversee insurance payments and tracking

  • Assist with Workers’ Comp Insurance (Hailey & Jason) with guidance from Debbie

Office & Administrative Support

  • Order and manage office supplies (Quill & Amazon)

  • Coordinate daily lunch orders

  • Handle incoming and outgoing mail

  • Manage IT inventory and order tech hardware (Dell)

  • Provide support to other managers as needed

  • Maintain a clean, organized, and efficient work environment


Qualifications

  • Proven experience in administrative or executive support roles

  • Proficiency in QuickBooks, Microsoft Office, and general billing systems

  • Strong organizational and multitasking skills

  • Excellent written and verbal communication

  • Ability to maintain confidentiality and handle sensitive information

  • Comfortable working in a fast-paced, fully on-site environment

  • Experience with medical billing and financial transactions is a plus



Pay Details: $38.00 to $40.00 per hour
