Location: Glendale, AZ (100% On‑Site)
Pay: Up to $95,000 annual, depending on experience

Type: Open‑ended contract, with strong potential to convert to full‑time hire


About the Role

LHH is partnering with a valued client to identify a highly skilled Executive Assistant to support their Senior Leadership Team. This role requires a polished, adaptable professional who can operate in a fast‑moving environment and anticipate the needs of executive‑level stakeholders.

This position is fully on‑site and follows the working schedule of the CEO; flexibility for extended hours is required.


Key Responsibilities

  • Manage complex calendars for senior leaders, including prioritizing meetings, resolving conflicts, and ensuring seamless daily operations.

  • Coordinate multiple workstreams at once, independently solving problems and supporting shifting priorities.

  • Prepare and refine executive‑level presentations, reports, meeting materials, and correspondence with exceptional accuracy.

  • Plan and support leadership meetings by organizing agendas, assembling materials, coordinating logistics, and recording action items.

  • Serve as the primary communication point for executive offices, responding to inquiries with professionalism while protecting confidential information.

  • Arrange domestic and international travel, including detailed itineraries, documentation, and contingency planning.

  • Process executive expense reports and support general accounting and administrative tasks.

  • Act as a liaison between executives and internal/external stakeholders to ensure timely follow‑up and proper direction of requests.

  • Keep leaders informed of deadlines, upcoming commitments, and high‑priority deliverables.

  • Maintain strict confidentiality and demonstrate strong judgment in handling sensitive business information.

  • Coordinate cross‑departmental projects and collaborate with other administrative partners and vendor contacts.

  • Adapt quickly to frequent schedule changes and manage urgent requests with professionalism.

  • Oversee front‑office interactions, greet visitors, and maintain a polished, welcoming environment.

  • Support office operations including supply management, mail distribution, and general administrative functions.

  • Assist with company events, special projects, and broader organizational initiatives as needed.


Qualifications

  • Extensive experience supporting senior executives in fast‑paced environments.

  • Strong organizational, communication, and prioritization skills.

  • Proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint).

  • Demonstrated ability to handle confidential information with discretion.

  • Experience managing complex travel and meeting coordination.

  • Flexible and adaptable to changing priorities and extended hours.

  • Professional, polished demeanor with a proactive, solutions‑oriented mindset.
