Position Overview

We are seeking a detail-oriented and proactive HR Administrative Assistant to support the Human Resources team in Madison, WI. This role is essential in helping maintain efficient HR operations, ensuring accuracy in employee records, assisting with recruitment efforts, and providing exceptional administrative support. The ideal candidate will be organized, professional, and passionate about supporting both people and processes.


Key Responsibilities

  • Provide administrative support to the HR department, including document preparation, data entry, and calendar management.

  • Maintain and update employee records and personnel files in compliance with internal policies and legal requirements.

  • Assist in the recruitment process by posting job openings, scheduling interviews, conducting reference checks, and coordinating onboarding paperwork.

  • Support benefits administration and open enrollment activities, answering employee questions and coordinating with benefit providers as needed.

  • Prepare and process HR reports using HRIS and payroll systems.

  • Help organize employee engagement activities, training sessions, and compliance workshops.

  • Manage and maintain confidentiality of sensitive employee information and organizational data.

  • Serve as a point of contact for general HR inquiries from staff and new hires.


Qualifications

  • High school diploma or GED required; associate or bachelor’s degree in Human Resources or related field preferred.

  • 1+ years of administrative or HR support experience; nonprofit or corporate setting preferred.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with HR software or HRIS systems.

  • Strong organizational skills, with attention to detail and ability to manage multiple tasks efficiently.

  • Excellent written and verbal communication skills.

  • Ability to maintain discretion and handle confidential information professionally.


Preferred Skills

  • Experience with Paylocity.

  • Basic understanding of employment law and HR compliance practices.

  • Bilingual abilities a plus.



Pay Details: $22.00 to $26.00 per hour
