Our legal firm is seeking a detail?oriented and reliable Bookkeeper to manage day?to?day financial operations and ensure accurate, compliant accounting practices across the organization. The ideal candidate will have prior experience in a law firm or professional services environment and a strong understanding of trust/IOLTA accounting, client billing, and matter management.


Bookkeeper – Legal Industry

Location: Philadelphia, PA 19148


Salary: $80-$100k


Key Responsibilities

General Accounting

  • Maintain accurate financial records including general ledger entries, journal entries, and account reconciliations.
  • Process accounts payable and accounts receivable, ensuring timely and accurate payments and collections.
  • Reconcile bank, credit card, and trust/IOLTA accounts monthly.
  • Prepare weekly, monthly, and quarterly financial reports for leadership.

Trust & IOLTA Accounting

  • Manage attorney trust accounts in compliance with state bar rules.
  • Monitor client retainers and trust balances; ensure proper allocation of funds.
  • Maintain audit-ready documentation for all trust transactions.

Billing & Invoicing

  • Prepare and send client invoices, ensuring accuracy and adherence to engagement terms.
  • Review attorney time entries for completeness and compliance.
  • Process write-offs, adjustments, and retainer applications.
  • Respond to client billing inquiries and provide support on invoice-related questions.

Payroll & Employee Expenses

  • Assist with payroll processing and employee reimbursements.
  • Maintain accurate records of billable vs. non-billable hours (if applicable).

Compliance & Reporting

  • Assist with annual audits and tax preparation documentation.
  • Ensure compliance with legal industry accounting standards and regulations.
  • Maintain confidentiality and manage sensitive financial information with discretion.

Qualifications

  • 2–4+ years of bookkeeping or accounting experience; legal industry experience strongly preferred.
  • Proficiency in accounting software (e.g., QuickBooks, Clio, TimeSolv, PracticePanther, or other legal billing platforms).
  • Strong understanding of trust/IOLTA accounting requirements.
  • Excellent attention to detail, organization, and problem-solving skills.
  • Ability to work independently in a fast-paced, deadline-driven environment.
  • Strong communication skills and comfort working with attorneys, staff, and clients.
  • Experience with payroll systems (ADP, Paychex, Gusto, etc.).
  • Knowledge of GAAP principles.
  • Familiarity with electronic payment systems and e?billing.
  • Excel skills (VLOOKUPs, pivot tables a plus).
