About the Opportunity
We’re hiring a Program & Outreach Coordinator to support a behind-the-scenes legislative affairs team with organizing stakeholder meetings, prepping communications, and managing event logistics. Think of it like being the air traffic control for a busy advocacy calendar—you’ll track who's meeting whom, where, when, and make sure nothing falls through the cracks.
You’ll thrive in this role if you're a spreadsheet pro, love structure, and can juggle scheduling, follow-up, and reporting like a champ.
Key Responsibilities
Build and maintain detailed Excel trackers for meetings, participation, and engagement metrics
Manage email communications and internal messaging to a variety of stakeholder groups
Coordinate complex appointment schedules across multiple people and agencies
Prepare brief reports or internal presentations (no public speaking required, but you’ll be heard!)
Handle document formatting, mail merges, and data cleanup from internal systems
Help plan and execute events like Lobby Days and legislative meetings
Must-Haves
Confident in Microsoft Excel (filtering, sorting, formatting, mail merges, VLOOKUPs = awesome)
Prior experience coordinating projects, schedules, or outreach campaigns
Excellent organizational skills—you love checklists and deadlines
Clear communicator with a team-first attitude
Able to work independently and ask smart questions when needed
Comfortable presenting to small internal groups (~10–25 people)
Nice-to-Haves
Experience in nonprofits, associations, government, higher ed, or campaigns
Past exposure to stakeholder engagement, advocacy, or event coordination
Familiarity with databases or data exports
Some experience with virtual meeting setup (Zoom, Teams, etc.)
Job Details
Pay: $30–$40/hr (DOE)
Location: Remote-first, but must be WA-based and able to attend occasional in-person meetings
Contract Type: Long-term hourly
Schedule: 20–40 hrs/week depending on season (peak = Jan–Mar, lighter mid-year)
