Lease Administrator


Location: Onsite in San Francisco Compensation: $36–$38 per hour Position Type: Full-time

If so, we invite you to apply for the role of Lease Administrator, where you’ll play a key part in managing lease data, accounts receivable, and collaborating across departments to ensure operational success.


Key Responsibilities


Day-to-Day Responsibilities:



  • Accounts Receivable Management:



    • Supervise third-party consultants to ensure rent receipts and other payments are posted promptly.


    • Monitor tenant accounts to identify overdue balances, working with property managers to resolve issues.


  • Lease Data Maintenance:



    • Regularly update lease data in the MRI database, verifying tenant information, payment terms, and critical deadlines for accuracy.


    • Address data discrepancies in coordination with the Assistant Lease Administration Manager and other teams.


  • Document Tracking:



    • Maintain an up-to-date Lease Document Tracker to monitor new leases, amendments, and commencement agreements.


    • Follow up with internal teams to ensure deadlines are met.


  • Lease Abstracting:



    • Summarize essential lease terms such as rent details, renewal options, and operating expenses for database entry.


    • Coordinate reviews with property management and other departments, ensuring finalized abstracts are securely filed.


  • Tenant Adjustment Memos:



    • Prepare and review adjustment memos, ensuring accuracy and proper approval.


    • Monitor refund processes for timely disbursements as needed.


  • Tenant Move-Out Coordination:



    • Provide guidance on move-out processes, including required documents and approvals.


    • Review and reconcile tenant security deposits and ensure timely returns when applicable.


  • File Organization:



    • Develop and maintain a structured filing system for lease-related documents, performing regular audits to ensure compliance.


Monthly Responsibilities:



  • Tenant Billing:



    • Coordinate with property managers to ensure billbacks (e.g., utilities, work orders) are submitted and posted on time.


    • Resolve billing discrepancies as they arise.


  • Rent Statements:



    • Distribute monthly rent statements to tenants promptly and redirect inquiries to appropriate property managers.


Annual/Ad Hoc Responsibilities:



  • Special Projects:



    • Assist with portfolio analysis, system upgrades, and lease audits.


    • Collaborate with cross-functional teams on strategic initiatives.


  • Team Collaboration:



    • Serve as a point of contact between Lease Administration, Property Management, and Accounting teams, facilitating smooth operations.


Qualifications



  • Experience:



    • Minimum of three years in lease administration, property management, or a related field with experience managing lease data and financial reconciliations.


  • Education:



    • A Bachelor’s degree is preferred but not required.


  • Skills:



    • Exceptional organizational and multitasking skills.


    • A proactive approach to problem-solving and issue resolution.


    • Proficiency in Microsoft Office (Excel, Word, PowerPoint); experience with MRI software is an advantage.


    • Excellent verbal and written communication skills.
