LHH is partnering with a growing organization to hire a Construction Administrative Assistant in Phoenix/Tempe, AZ! As the administrative team support assistant you will be responsible for communicating and following up with vendors as well as generating reports for the team and management. This is a direct-hire opportunity within a well-established growing organization.


Our client is looking for an admin expert with 2 or more years within construction or manufacturing of experience handling order entry, supporting a customer service or sales team, onboarding new contractors, supporting with accounting functions and working efficiently through all administrative tasks. This is a well-known construction and they would love to add a creative and kind clerical assistant to support the office and executive team, could that be you?

  1. Greeting customers and providing updates to executives meeting with client


  2. Lien Waivers and releases


  3. Subcontractor and contractor administrative support


  4. Calendar management


  5. Travel arrangements


  6. Onboarding of new contractors


  7. Coordinate contract agreements


  8. Receives customer requests and coordinates vendors for completion of repairs.


  9. Records all incoming issues and follow up with vendors to ensure deadlines are met.


  10. Utilizes systems to check for accuracy on work orders entered to ensure they are processed efficiently, and data is correct for reporting purposes.


  11. Assist as necessary with the on-boarding process of all new clients and vendors


  12. Resolves issues with individual invoices to allow the invoices to be approved for payment


  13. Communicate with external vendors regarding order status


  14. Maintain accurate database


  15. Coordinating in-person and virtual conferences


  16. Ensure file compliance


Job Qualifications:


  1. Bachelor's degree preferred but not required, must have at least High School Diploma/GED


  2. Minimum of 2 years of manufacturing, construction type administrative experience


  3. MUST have great Microsoft Office or computer skills


Pay: $24-30/hr depending on years of commercial contractor administrative support experience (contract-to-hire opportunity)
