LHH is actively seeking an Associate Program Manager for one of our top clients in PA! This position will be contract to hire and will be hybrid to our client’s office in Yardley, PA (Tues-Thurs ; WFH Mon & Fri).
The Associate Program Manager, Proposal Management plays a key role in supporting successful business development by coordinating all deliverables, timelines, and cross-functional inputs required to produce high-quality, compliant RFP responses. This role reports to the Director, Competitive Insights & RFP Response and ensures the organization delivers strategic, well-crafted proposals that support overall growth goals.
This position ensures that RFP/RFI/Security/Compliance requests are accurate, complete, and submitted on time. The role requires strong project management skills, cross-departmental collaboration, and the ability to translate complex requirements into clear actions and aligned responses.
Key Responsibilities
Proposal Lifecycle Management
Manage all stages of the proposal lifecycle—from initial RFP receipt to final submission.
Support the interpretation and analysis of complex RFP requirements, instructions, and evaluation criteria.
Contribute to proposal strategy development and participate in business development discussions to ensure alignment with organizational objectives.
Identify key compliance elements and ensure all responses meet required standards.
Support timely, compliant submission of proposals within established timelines and budgets.
RFP Program Management
Assist in the full end-to-end RFP process, including intake, eligibility review, win strategy development, project planning, content creation, executive reviews, and final submission.
Own and maintain the proposal calendar, ensuring all stakeholders are aligned and all deadlines are met.
Team Coordination
Collaborate with cross-functional leaders (Sales, Marketing, Product, Engineering, Finance, etc.) to gather information and ensure responses align with RFP specifications.
Facilitate intake meetings, win strategy discussions, and executive involvement to ensure strategic messaging.
Support Sales with customized RFI responses, security questionnaires, and related documentation.
Lead proposal kickoff meetings, review sessions, and other key touchpoints to ensure progress and secure approvals.
Assign, track, and manage stakeholder responsibilities to ensure timely contributions.
Act as a liaison between internal teams, clients, and vendors to maintain effective communication and smooth workflows.
Continuous Improvement & Insights
Track proposal metrics such as win rates, cycle times, feedback, and performance trends; present findings in monthly KPI reports.
Lead post-mortem reviews, identify lessons learned, and support the implementation of process improvements.
Artifact & Document Management
Create, maintain, and update program management documents, proposal templates, and budgets to drive consistency and efficiency.
Manage organized proposal archives, maintain version control, and ensure documentation accuracy.
Prepare internal and external reports including status updates, compliance matrices, and executive summaries.
Maintain a centralized repository of proposal content, templates, and standard responses.
Key Skills & Qualifications
2–4+ years of experience in proposal management, program management, or business development.
Project management skills: Ability to manage multiple assignments, build timelines, and keep deliverables on track.
Analytical capability: Able to interpret complex RFP requirements and synthesize information with guidance.
Strong communication skills: Excellent written and verbal communication; comfortable facilitating meetings and working with diverse teams.
Organizational excellence: Detail-oriented with experience managing documentation, templates, and content libraries.
Technical proficiency: Experience with proposal management tools (e.g., Loopio), GSuite (Sheets, Docs, Slides), Salesforce, and other relevant platforms.
Experience working in a deadline-driven, sales-focused environment with a sense of urgency.
Bachelor’s degree in business, communications, or a related field preferred.
Demonstrated ability to collaborate with executive leadership and support sales teams on client-facing deliverables.
Pay Details: $35.00 to $40.00 per hour
